Weighing in on the Benefits of a SAS 70 Audit for Third Party Data Centers

With increasing oversight and growing demands for industry regulations, third party assurance has never been under a keener eye than we live in today. Increased flexibility and access to information creates new risks that need to be taken into consideration; standard operating procedures are no longer good enough, organizations need to incorporate regulations and define authorizations to ensure they maintain the level of security that existed in the pre internet world. This change in the way companies' data is accessed and transmitted has propelled the SAS 70 audit to the checklist of business proposals and contract renewal requirements, failure to have a current SAS 70 audit can significantly affect potential or current business relationships.

SAS 70 Compliance | Current and Future Trends

SAS 70 has not been the single solution for service organizations; with foreign countries forming their own compliance standards, service organizations operating internationally were required to adhere to different countries' laws. Due to the varying forms of service organization reports the International Auditing and Assurance Standards Board (IAASB) felt there was a need for a common auditing standard to address the varying differences in each country's audit requirements. As a result the IAASB created and issued the International Standard on Assurance Engagements (ISAE) 3402 'Assurance Report on Controls at a Service Organization' on December 18, 2009. ISAE 3402 is not a means to replace country specific standards (i.e. SAS 70) but provides a reporting option to address current limitations. The American Institute of Certified Public Accountants has recently updated the SAS 70 audit to more closely align the standard with ISAE 3402; the new standard is Statement on Standards for Attestation Engagements No.16 (SSAE 16) 'Reporting on Controls at a Service Organization' and will become effective in June 2011. Even with all of the different changes to compliance standards that companies are facing today, as we move forward and align our clients with the appropriate rules and regulations whether it's called SAS 70, ISAE 3402 or SSAE 16 these auditor reports are a marketable and accepted form of qualification for service organizations that will continue to play a vital role in obtaining and retaining customers today and for years to come.

SAS 70 Audit | What is it?

A SAS 70 audit is performed by an independent certified public accounting firm through examining the controls and processes involved in storing, handling, and transmitting data. The successful completion of an unqualified audit illustrates an organization's ongoing commitment to create and maintain suitable controls for the protection and security of its customers' confidential information. Customers of service organizations can easily incorporate the SAS 70 report in their SOX compliance programs as proof that appropriate controls are in place for outsourced services. The SAS 70 audit can also help organizations to comply with other regulations, including HIPAA (Health Insurance Portability and Accountability Act), GLBA (Gramm-Leach-Bliley Act of 1999), and ISO 27001/2.

SAS 70 Audit Services

SAS 70 Readiness Assessment - is a review designed for organizations preparing for their first SAS 70 audit. Organizations who have not formally evaluated their internal controls often start with a SAS 70 Readiness Assessment.
SAS 70 Type 1 - provides limited assurance and reports on the design of controls as of a point in time. Organizations that have policies and procedures in place but little or no history of the policies and procedures in operation start with a SAS 70 Type 1 audit prior to undergoing the SAS 70 Type 2 audit.
SAS 70 Type 2 - provides the highest level of assurance for SAS 70 audits and reports on the service organization's controls and operating effectiveness over a period of time (generally at least six months).

SAS 70 audits cover the "information system" used by service organizations. The information systems are not limited to just computers and software, but any form of handling user organization's information that could affect their financial reporting. The scope of a SAS 70 audit includes procedures that cover the IT General Computing Controls (GCC) supporting your primary information systems. These controls are used in delivering services and sustaining business procedures for organizations processing financial transactions like payroll companies or electronic payment processing organizations. Details of the IT GCCs and business process procedures are as follows:

1. An examination of IT GCCs is used to evaluate the integrity of data within information systems utilized in delivering services. This portion of the SAS 70 scope is relevant to all service providers and is the core of your SAS 70 audit. The IT GCCs review will cover the physical security, environmental security, computer operations, problem and change management, logical security and data communications.

2. An assessment of business process procedures is used to evaluate how organizations ensure the accuracy, timeliness and completeness for processing financial transactions. This assessment is relevant for organizations like payroll providers, receivable management companies, payment processors and third party administration services. This portion of the SAS 70 scope is not relevant for organizations like software as a service, application service providers or data centers. However business process controls may be integrated in the application software such as a payroll system, retail banking system, inventory system or billing system and require some manual processes like account reconciliations.

SAS 70 Compliance for Data Center Facilities

Data Center growth has definitely been a bull market the past few years and with increased regulations like Sarbanes Oxley, a need for better disaster recovery plans and new technologies like cloud computing data centers are a focal point for SAS 70 audits. Generally, Colocation and Managed Data Center services are the two major service offerings that are evaluated for Data Center facilities.

Colocation audits are designed to provide third party assurance on the company's organizational controls, physical security over customer's equipment, protection of computer systems from environmental threats, continuous power supplies and incident support handling.

How to Draw a Graph Using Excel

Microsoft Excel has got a great feature called Charts. Charts help us to draw graphs based on a given data. This is an excellent tool to convert your data into graph within no time. Visualize a scenario, wherein you are asked to draw a graph on sales made during different quarters by your company. Let us do this task right away.

Open your Excel program. Input Quarter names in one column (say A1). This is going to be our X-axis in our graph. The next column should be filled with the sales figures corresponding to each quarter you entered in the first column. This column is our Y-Axis. Your basic data is now ready to be drawn. All you have to do is to select the entire region of data and click on the chart wizard icon provided in the menu toolbar.

The first step in the wizard is to provide the type of graph we want to plot. Choose a type of graph. For this example, let us choose Bar graph. The subsequent steps are for further customization of the graph. You can try out different customizations to make your graph better and eye appealing. These steps will ask you to provide a Chart Title, Name for Category X,Y whether you require grid lines in your graph etc. Once you are done with customization, click finish and your chart is drawn.

The advances in the technology and pharmaceutical products have resulted in a lot of innovations in the healthcare industry. New medicines are being developed in order to treat, manage and prevent many diseases and aging conditions of baby boomer population. Flash Drive Not Detected? Solution is Here

There can be several reasons for Flash Drives not being detected by your computer.
First your computer is not able to provide drivers for your Flash Drive. Now, for your information, you do not need to install any drivers from outside if you are using Windows 2000 SP4,Windows XP or Windows Vista as they come with native support for these devices.
If you are thinking that you are already using one of these versions of windows still your computer is not able to mount your Flash Drive. Don't worry,that's why I am writing this article. Just read on...
If your are not on one of these Windows version then your problem can be easily resolved by just installing the drivers which you get on a disc that comes with your Flash Drive. If you did not receive any disc,try checking out the manufacturer's website and it should be there for sure. If still no luck,then try contacting me....

Remember, everything is explained here assuming that you are on Windows XP but need not worry as other Windows like Vista should work the same way.

Flash Drive Not Detected? Solution is Here

There are several possible reasons for Flash Drives not mounting on your computer. Mentioned below are few of them:

Drive Letter Conflict

Flash Drive not formatted properly

Windows require some patch or update
Problem with the USB port
Physical connection problem

So, let's start with the first one, that is, drive letter conflict.

Now, this can be the problem when you are trying to use your Flash Drive in a network environment. The best possible solution to this problem is to change the drive letter assigned to Flash Drive. This can be done by going to Disk Management and right clicking on Removable Drive and then clicking on Change Drive Letter. You can select any drive letter which is not assigned by windows to any drive or partition in any computer inside a network. Also, before changing the drive letter it's recommended to check if your Flash Drive is showing in Device Manager under Disk Drives. If it's not there that problem can be something else.

If changing Drive Letters does not help and drive is showing in Device Manager then probably you should try disconnecting that computer from the network by taking out the network cable or if you are inside a corporate environment then try contacting you IT deptt to know the drive letter not being used anywhere.

Let's talk about the second scenario. If the drive is not formatted properly that means that it's mounting up and being detected by the computer as well. It's just would be giving a message to Format the Drive when trying to access it. This can happen if the File System has corrupted on Flash Drive or its not formatted in the supported format. For example, if you are trying to use a Flash Drive formatted in Ext2 file system in Windows Computer. The only solution to this problem is to format the drive in the supported format. For windows you should always format the drive in Fat or Fat32 and in Macintosh you should use MSDOS as this will also be supported by Windows computer. Please note formatting the Drive will ERASE all data. So, if you have any important data kindly try using a different computer to see if drive works or contact a Data Recovery company. Also, if you are not able to format the Flash Drive, please try using the HP USB Disk Storage Format Tool. It's made by HP but works on generally all Flash Drives.

Now let's talk about problems that can happen because of any updates or patches. No matter if you have the latest service pack for your Vista or XP computer. Still, there are few updates or rather say patches which need to be installed if you face any such problem.

As per Microsoft the patch will fix the following issues:

" When the computer resumes from a suspend state or from a hibernation state, the computer stops responding. Additionally, you receive a "0x9F" stop message on a blue screen.

" The computer takes a long time to resume from a suspend state or from a hibernation state.

" The computer takes a long time to resume from a suspend state or from a hibernation state when you use a VIA controller.

" The computer stops responding when you use an Authentic USB fingerprint reader. Additionally, you receive a "0xFE" Stop error on a blue screen or a "0x9F" Stop error on a blue screen.

" The computer stops responding when you use a USB Bluetooth audio device.

" The computer takes a long time to resume from a suspend state or from a hibernation state when you use an Enhanced Host Controller Interface (EHCI) controller.

" The computer stops responding when you remove a USB device. Additionally, you receive a "0xFE" Stop error on a blue screen.

" When a computer resumes from a suspend state or from a hibernation state multiple times, you receive a "0xFE" Stop error on a blue screen.

So go and install this even if you are facing a different problem related to but not similar to this.

Another patch for XP Service Pack 1 is also include at the bottom.

There are chances of problems with USB ports as well which happens rarely but the possibility is still there. The best way to identify is to attach any other USB device on the same port and check if that device works or not. For Example, USB Printer. Also of you are using a Desktop and inserting the drive in some front USB port then try using some port at the back.

Here , I would like to add one more point. If you have a high capacity drive like 8 GB and you are trying to use it on an old computer then due to inadequate power support the drive may not mount properly.

Sometimes, even if the icon for Removable disc appears under My Computer,the drive may not work properly as the complete capacity will not be mounted in case of inadequate power. You can check this by right clicking on Removable Disc and then clicking on Properties. If one this window, both free and used space is showing 0 KB then this can be the possible problem. In order to fix any issues related to inadequate power supply you can purchase USB Power Hub from any computer store and attach it to the USB port. What it does is that it will convert the low power supplied by USB port to little high power.

But, remember this problem generally happens in case of old computers. Before purchasing USB power hub, you can also try the back port of your computer if you are on Desktop.

And Last but not the Least, improper physical connection is the general cause for Drives not getting detected. This may happen if USB port or connector on Flash Drive has bent or physically damaged due to which drive is not able to make a contact with pins on USB port. In this case, you should also look the inside area of port or connector and if any damage found please take it to some local technician of Drive manufacturer to get it fix.
